Executive Assistant

Are you an organised, efficient and approachable administrator, looking to further your experience as an Executive Assistant in a small, friendly and effective team?

If so, the Secretarial team at the Otago Regional Council may have just the right spot for you!

Our Executive Leaders are busy people, so we are currently looking to appoint a suitably experienced Executive Assistant to join our close-knit team, based at the Regional House in Dunedin. We are looking for candidates with a commitment to customer service, excellent communication skills and the ability to manage competing priorities – and diaries! This is a full-time fixed-term opportunity available now, for a period of six months.

Key responsibilities for this role will include:

  • Providing administrative/secretarial support, including typing and editing of documents such as Council reports
  • Preparing and sending correspondence
  • Diary and email management
  • Undertaking travel and conference bookings
  • Organising meetings and preparing agendas
  • Invoice coding for approval
  • Taking meeting minutes

To be a standout candidate for this role, you will be an administrative superstar, with sound time management skills, strong attention to detail and excellent communication skills – both written and verbal. You’ll be a team player, willing to get stuck in to help your team and the wider organisation. Excited by a challenge, you’ll look to use your initiative to solve sometimes curly problems.
