The Opportunity

We are looking for an Executive Assistant to the General Manager Strategy and Customer and General Manager Planning and Transport to join our Business Support team on a permanent, full time (37.5 hours per week) basis, in our busy Dunedin office. In this role you will be providing executive business support to two General Managers, their leadership teams and directorates and supporting their needs with a strong focus on service and proactivity. This role is part of the Otago Regional Council’s Business Support Team.

As an Executive Assistant, you will be responsible for:

  • Ensuring GM activities and responsibilities are completed in a timely and efficient way
  • Developing and maintaining relationships that contribute to effective business delivery for GMs and the wider ELT demonstrating high levels of collaboration and proactive service delivery
  • Ensuring documentation is prepared to agreed standards and filed appropriately in accordance with legislative requirements and internal policies and systems
  • Travel and event management is completed efficiently and on time
  • Supporting GMs to meet their financial obligations

About You

Our ideal candidate will have:

  • NCEA Level 2 English and Maths
  • Experience working with senior leadership teams in a similar senior level role
  • Experience in office management, technology and systems
  • Ability to prioritise workloads and negotiate deadlines in the face of competing demands
  • Strong interpersonal and organisational skills
  • Possess judgment, tact, confidentiality and integrity
